RTIS Purchasing Module - download .pdf brochure
Outline
The RTIS Purchasing module is designed to help managing the purchasing function of a company. It can be adapted according to an individual companies particular requirements, and can be linked with most standard third party software packages such as accounting systems. In addition it can be fully integrated with other manufacturing modules supplied by RTIS.
The key benefits of implementing the module include:
- More efficient generation of purchase orders
- Professional quality outputs can be printed, faxed, emailed, or exported using XML
- All purchasing information is logged for subsequent analysis
- Flexible easy to use reporting/analysis interface to provide immediate management information
- Prompting of Purchase Orders that require chasing
- Evaluation of Supplier performance
Flexibility to Configure to your Requirements
Supplier information - Different situations require different structures of information on suppliers. This may include ordering different categories of order from one supplier, or from different branches of the same supplier etc. In conjunction with you, we will consider the best solution for you that meets your requirements without needless surplus information.
Parts/Categorisations and Descriptions - The system has been designed to expedite purchasing of standard materials as much as possible by using predefined parts and pre-configured default information wherever possible, however this information can be manually adjusted on any particular purchase order. In addition one off purely descriptive orders can be accommodated without having to a new part number.
Pricing Rules - One of the complexities encountered in manufacturing is the variety of different types of materials required, from sheet metal to office stationary. Obviously the suppliers of different materials, will need different pricing policies to determine the cost of materials. Sometimes even different suppliers of the same materials will have different pricing policies. The RTIS purchasing module provides a framework in which the rules by which the supplier prices materials can be easily and comprehensively defined.
Report Writer - The standard module includes a total of 8 reports. This can be extended as required. In addition we can include a report writing facility in which end users can produce their own reports, and fully integrate them with the system.
Application Structure
The application has been developed using Microsoft Visual Basic. This enables us to take advantage of many standard components available for use in this environment. It also allows us to easily integrate with the most common office products such as MS Word and Excel. The database platform is typically one of the following: · Microsoft Access (Jet version 4.0) · Microsoft Data Engine (version 1.0) · SQL Server (Version 7.0) The decision as to which to use will depend on cost, existing software licenses, perceived size of the database, and performance requirements. If necessary we can use your existing corporate database such as Oracle, Informix, etc.
The user interface structure has been organised into three different areas of information: ·
- Supplier information ·
- Parts/Materials ·
- Purchase Orders
Each area of information can be viewed as a list or as a full screen details form. Of course the different areas of information are interrelated in that a supplier can relate to several purchase orders, and a purchase order can relate to several parts.
One key feature of the RTIS software is the interface used to manage lists of information. The component (known as the List Browser) is used to search through lists, ask spontaneous questions of the information, and manage the content of reports. It is also used to highlight entries that require attention through the use of colouring rows and cells.
Implementation Procedure
A typical implementation of the RTIS Purchasing Module would advance through the following steps:
- Initial Meeting to discuss requirements, and demonstrate the RTIS software
- Agree specification, scope and data platform
- RTIS produce initial prototype layouts for details forms, and reports
- RTIS produce functional single user system for testing and approval
- Installation on network and training
Links to 3rd Party Software
RTIS can provide links to and from the Purchasing Module with 3rd party software such as Sage. Because of the variability of the way in which the communication is possible or even available, we would need to quote for this on a case by case basis.
Other RTIS Software Components
There are features that RTIS have developed for integration with any of our software that may be of interest to enhance a particular installation. We will be happy to demonstrate these, and quote for their inclusion should they be of interest.
Maintenance
The first 3 months of maintenance after installation are provided free of charge. Following this, RTIS can provide a range of support options to meet your requirements. The likely optimum solution will depend on your own internal IT expertise, and whether a dial in link is available. The cost of basic maintenance starts at 10% of development cost.
